Distribution

# Digital transformation for distribution companies

Customers ask for the price list by email, sales reps phone in their orders, and someone in the office types them into the ERP all over again. We make sure your company receives, processes and ships orders without retyping, and that your customers can order on their own, at their own prices.

Murarum is a studio based in Iași, Romania, that digitalizes B2B distribution companies. We build applications where a distributor's customers order on their own at their negotiated prices, order apps for field sales reps, and automations that move orders, stock and invoices straight into the ERP the company already uses. We do not sell or replace the ERP. We typically work with companies of 10 to 250 people, and fit depends on how complex the ordering is, not on headcount. Every project starts with a diagnosis.

Sound familiar?

## An ordinary day at a distribution company.

### "What's my price?"

The price list goes out by email, on request. Every bar, shop or installer has their own terms, and some of them live only in a sales rep's head.

### Sales reps write orders in a notebook or on WhatsApp.

In the evening they phone them in, and the next morning someone in the office types them into the ERP a second time.

### Orders arrive on every channel at once.

Email, phone, WhatsApp, the website form. Each in a different format, none of them straight into the ERP.

### The phone rings with "is this in stock?" and "when is my delivery?"

The online shop shows yesterday's stock, or none at all.

### Repeat customers order from scratch every time.

The same products every month, the same list, the same email, the same typing.

### Whatever doesn't fit in the ERP lives in a spreadsheet.

Returnable packaging and deposits, returns, service requests for equipment you sold, quotes from a project list.

If two or three of these sound familiar, you don't need a new ERP. You need your ERP to receive the data without anyone typing it in.

For your customers

## Your customers order on their own. Your team handles only the exceptions.

Applications your customers and sales reps use, connected to your ERP. We don't build them all at once: the diagnosis shows which one to start with.

- 01
### A B2B ordering account with each customer's prices.
The customer signs in and sees the catalog, their negotiated prices, payment terms and order history. The order goes straight into the ERP, with no email and no retyping.
- 02
### Reorder in one click.
Last month's order, repeated and adjusted in seconds. For consumables bought every month, a favorites list.
- 03
### An order app for field sales reps.
On a phone or tablet, with each customer's prices and terms. It works where there is no signal and sends the orders once the connection is back.
- 04
### Quote requests from a list, with an estimated price.
The customer uploads a project list, a bill of materials or a cutting list, in Excel or PDF. Products are matched to your catalog codes, and the sales rep gets a prepared quote to check and send. For negotiated quotes, for example across a farming season, the rep starts from a ready draft, not a blank page.
- 05
### Status, documents, balance and payment.
The customer sees where the order is, the delivery note, the invoice and what is due, without calling. If you want, they can pay online, right from the account.
- 06
### Service, returns and packaging.
A service request for a piece of equipment or a return request, with photos and a visible status. Returnable packaging and deposits tracked per customer, not in a separate spreadsheet.

The phone and the sales rep stay. Customers who prefer to call can keep calling. Your existing online shop stays too: the B2B account is built next to it or on top of it, with the same products and the same stock.

Inside your company

## What happens once the order is in.

Each process has its own page, with an illustrative example, risks and questions.

- [Orders entered automatically](https://murarum.ro/en/services/process-optimization/distribution-process-automation): Orders from email, PDF, Excel or the phone reach the ERP structured. The operator only confirms, and anything that doesn't match stops with them, with the reason written down.
- [Stock and prices kept current](https://murarum.ro/en/services/digital-transformation/erp-crm-integration): Stock and prices from the ERP reach the online shop and the B2B account at short intervals, not once a day.
- [Invoices and e-Factura](https://murarum.ro/en/services/process-optimization/e-invoicing-automation): The delivery note and invoice come from the delivered order, and the invoice goes on to e-Factura, Romania's national e-invoicing system. Supplier invoices are matched to the order and the goods receipt.
- [Documents read automatically](https://murarum.ro/en/services/ai-integration/document-processing): Free-text orders and PDF invoices, read and prepared for review instead of typed by hand.

Today and after

## A beverage distributor serving bars and restaurants, today and after.

An example written for this page, not a client.

Illustrative example

### Today

1. The bar calls the sales rep in the evening. By hand
The rep writes the order in a notebook.
2. In the morning, an operator types the reps' orders into the ERP. By hand
3. The price list goes out by email as a PDF. By hand
Sometimes an old one.
4. Returnable packaging is tracked in a spreadsheet. By hand
5. The bar calls to ask when the delivery arrives. By hand

Every order goes through a phone, a notebook and a keyboard before it reaches the ERP.

### After

1. The bar orders from its own account. The app
At its own prices, or it repeats last week's order.
2. The rep takes orders in the app during the visit. The app
The order goes straight into the ERP.
3. Prices in the account come from the ERP. The app
So they are always today's.
4. Packaging and deposits show on each customer. The app
From orders and returns.
5. The operator reviews exceptions. Team checks
A new price, insufficient stock, an unknown product. Instead of typing.

The bar sees the order status and the invoice in its account. The sales rep spends the visit selling, not taking notes.

What you already have

## Keep your ERP. Get more out of it.

- ### Your ERP or inventory software
Stays the source for customers, products, prices and stock. We connect to it through an API, file imports and exports, or database access. We replace it only if it cannot be connected at all, and that decision is made in the diagnosis, with the cost of both options on the table.
- ### Your invoicing software and e-Factura
Receive the invoice from the delivered order, with no second entry.
- ### Your online shop
Stays. We give it correct stock and, where needed, add the part for business customers.
- ### Excel and WhatsApp
Are nothing to be embarrassed about. They are the real map of how the company works today and the point we start from. Many commercial rules live only there, and the diagnosis brings them to light before we build anything.
- ### Your IT team
If you have one, or your group's IT, works with us from the diagnosis on. If you don't have one, that's not a requirement.

Proof

## The same pattern, already in production.

We don't have a published distribution case study yet. What we do have is the pattern a distributor needs: people outside the company do their part on their own, the team reviews, and the status is visible at a glance.

Eventer.NET, a company based in Iași, organizes medical congresses and scientific events. Each speaker's travel, accommodation and documents used to be collected over email and spreadsheets. We built the platform that changed that process: speakers complete their own details in Romanian or English, the team reviews what comes in from one back-office, and organizers see at a glance who still has something to send. The platform is in production. We did the analysis, prototype, design, application and API.

### The same mechanism, in distribution

How we start

## We start with the diagnosis.

The diagnosis is the first step of every Murarum project. For a distribution company, it means we follow a few dozen real orders, from the customer's or sales rep's message to the invoice, and write down what is worth changing first. We write no code during the diagnosis.

### What you get

- A map of how an order travels today, per channel: customer, sales rep, phone, email, shop.
- Baseline figures measured on your orders: volume per channel, time, errors and retyping.
- A ranked list of changes, with the reasoning for each. For example, the B2B account before the sales rep app, or the other way around.
- A written plan, with a proposal if you want us to build it. The diagnosis is yours, and you can act on it without us.

### What we need from you

- A few hours with the people who take orders and with one field sales rep.
- Access to the ERP, or an export, and to the channels orders come in through.
- One person who can say yes or no.

### How long it takes

From a few days to 2 weeks, depending on how many order channels and teams we look at. If your company is in Moldova, north-eastern Romania, we come to your offices for the diagnosis.

### If you already know what you want to build

The diagnosis gets shorter, for example 2-3 days on a single flow: the B2B account or the sales rep app, with its connection to the ERP.

Illustrative example

"Two thirds of orders come from repeat customers buying the same products. We start with reorder from the account for them and leave the sales rep app for phase two."

## Questions about digital transformation for distributors

### Do I have to replace my ERP?

Usually not. If the ERP has an API, accepts imports or allows database access, we keep it and build around it. We replace it only if it cannot be connected at all, and that decision is made in the diagnosis, with the cost of both options on the table.

### Can you connect the application to our inventory software?

Yes, if the software has a way in: an API, file imports and exports, or database access. Tell us which software you use and we'll tell you in the first conversation which kind of connection it supports. We check the technical details in the diagnosis, on your system.

[ERP-CRM Integration](https://murarum.ro/en/services/digital-transformation/erp-crm-integration)

### Why not an off-the-shelf B2B portal on a subscription?

If an off-the-shelf product fits the way you sell, use it, and we'll tell you so in the diagnosis. We build custom software when your commercial terms don't fit a template: prices per customer, sales reps on routes, returnable packaging, quotes from project lists. Then the application and the code are yours, with no per-user license.

### How long does it take?

The diagnosis takes from a few days to 2 weeks. We put the build timeline in the proposal after the diagnosis, depending on scope and integrations. We ship in stages: one part goes live before we start the next.

### How much does it cost?

We don't publish a price list, because the price depends on what the project includes, and we find that out in the diagnosis. We agree the price of the diagnosis in writing before we start. The build has a fixed price for clearly defined work.

[How We Price](https://murarum.ro/en/approach/pricing)

### Who owns what you build?

You do. The code, the repository and the documentation are yours from the first commit, with no license and no dependence on us. Any bug that appears after launch is covered by a 12-month warranty.

### Do you work with companies in Iași?

Yes. We are based in Iași, Romania, and work with companies across Romania and the European Union. For companies in Moldova, north-eastern Romania, we come to your offices for the diagnosis. The rest of the work usually runs remotely.

### Can this be funded with EU grants?

We can be the supplier in a funded project, but we don't write the grant application. We define the project by what needs to change in the company, not by what the call funds. If the funding fits the plan from the diagnosis, all the better.
