# How much does automatic invoice reading cost: per page, per month or once

Automatic invoice reading costs four things: the extraction service, usually billed per page or per document; the time a person spends checking the fields the system is unsure about; the connection to your accounting software or ERP; and maintenance. The extraction service is normally the smallest line. In Romania, B2B invoices received through e-Factura do not need reading at all, because they already arrive as XML.

By Mircea Muraru · 17 October 2026

## First, count the documents that actually need reading

Invoices from Romanian suppliers arrive through e-Factura as structured XML files. A plain parser reads them, with no OCR and no AI, so the cost per document is close to zero. Automatic reading is for everything else: invoices from foreign suppliers, receipts, delivery notes, contracts and anything that arrives scanned or photographed.

Count those documents separately from your e-Factura invoices. Estimate on the total and you end up paying to read documents that are already structured. Our article on [invoice process automation with e-Factura](https://murarum.ro/en/insights/invoice-automation-e-factura) explains how the two flows differ.

## Three ways to pay

| Per page or per document (cloud extraction services) | A price for every page or document processed, no subscription | Extracted data with a confidence score per field. The connection to your accounting software is not included. | Volume varies month to month and someone can build the connection to your systems | The billing unit differs: some providers charge per page, others per document |
| Monthly subscription (ready-made apps) | A fixed monthly fee for an included volume, plus a charge above it | An app with a review screen and, sometimes, export to a few accounting packages | Steady volume, ordinary documents, and your software is on the supported list | You pay for the included volume in quiet months too; a connection to your ERP may not exist |
| Your own build (once, plus monthly costs) | The build, then the extraction service, hosting and maintenance | A flow wired to your own systems, with your validation rules and review thresholds | High volumes, several document types, an ERP or company-specific validation rules | The build only pays back through volume; ask for documentation and hand-off |

## What extraction services cost: published list prices

The large cloud providers publish their prices. The figures below are pay-as-you-go list prices in US dollars, before VAT, checked on 17 October 2026\. Volume discounts exist and prices change, so check the provider's page before you run your own numbers.

Three things stand out. At a thousand pages a month, extraction costs somewhere between a few dollars and a hundred, little next to the time people would spend typing the same documents. Plain text is cheap, but turning it into structured fields costs several times more. And the billing unit matters: for a one-page invoice, $0.10 per document is ten times $0.01 per page.

A language model can also read the document. How to estimate its usage per invoice from list prices is covered in our article on [what AI implementation costs a company](https://murarum.ro/en/insights/ai-implementation-cost).

## The four costs, one by one

### 1\. The extraction service

This is the variable cost from the table above: pages or documents times the price. It grows with volume, but it rarely decides whether the project is worth doing.

### 2\. Human review

No service reads every field on every document correctly. Low-confidence fields go to a person, who confirms or corrects them. That time is a monthly cost and, after launch, usually the largest one. Simple validation rules that run before the person cut it down: line items add up to the total, the VAT rate is right, the supplier's tax ID is on the list. Only the documents that are genuinely doubtful then reach review.

### 3\. The connection to accounting or the ERP

This is paid once, and it depends on your software. With an API or a file import, confirmed data goes straight in, with the original document attached. With neither, automatic reading produces data that someone still copies by hand, and the saving disappears.

### 4\. Maintenance

New suppliers bring new layouts, extraction services release new versions, and review thresholds get adjusted to real corrections. Someone has to check every month how many documents pass without a correction and where the errors sit. Budget for it from the start, as a monthly line.

## What drives the cost up

| Driver | Cheap when | Expensive when |
| ------------------- | ------------------------------------------------------------------------------- | -------------------------------------------------------------------------------------- |
| Volume | Hundreds or thousands of documents a month, steady: fixed costs are spread thin | A few dozen a month: fixed costs land almost entirely on each document |
| Number of layouts | A few suppliers, with the same layouts month after month | Dozens of different layouts, documents in several languages |
| Document quality | PDFs generated by software | Phone photos, crumpled paper, handwriting |
| Accuracy required | Header fields: supplier, number, date, total | Every line item, with quantities and codes, matched to the order and the delivery note |
| Where the data goes | Software with an API or a file import | Software with no way in |

## A break-even estimate, with the assumptions in plain view

This is an estimate, not a client result. Every figure below is a round assumption chosen to show the arithmetic, in Romanian lei; the method works the same in any currency. Replace the numbers with your own.

- 1,200 documents a month outside e-Factura, 1.5 pages each on average, so 1,800 pages.
- 4 minutes of manual typing and checking per document today.
- 1 minute per document on average after automation, for reviewing doubtful fields and exceptions.
- 50 lei as the loaded cost of an hour of administrative work (salary, taxes, overheads). A starting value, not an official average.
- An extraction service at $0.01 per page, and 4.5 lei to the dollar, rounded for this example only.
- 200 lei a month for hosting, logs and storage, and 700 lei a month for maintenance and supervision.

| Line (estimate) | Per month |
| ------------------------------------------------------------- | --------------- |
| Manual typing today: 1,200 x 4 minutes = 80 hours x 50 lei | 4,000 lei |
| Review after automation: 1,200 x 1 minute = 20 hours x 50 lei | 1,000 lei |
| Time saved: 60 hours x 50 lei | 3,000 lei |
| Extraction service: 1,800 pages x $0.01 = $18 | \-81 lei |
| Hosting, logs, storage | \-200 lei |
| Maintenance and supervision | \-700 lei |
| Net monthly benefit | about 2,000 lei |

We do not assume a build cost here, because it depends on exactly the drivers in the table above. Use the formula instead: months to break even equal the build cost divided by the net monthly benefit. At about 2,000 lei net a month, every 2,000 lei of build cost adds one month.

Two variations show how sensitive this is. If the service charges $0.10 per document instead of $0.01 per page, extraction rises to about 540 lei and the net benefit falls to about 1,560 lei. If review takes 2 minutes per document instead of one, the net benefit falls to about 1,020 lei, roughly half. Review time weighs more than the service price, which is why it is measured on a real sample rather than assumed.

### The volume below which it does not pay

On the same assumptions, a document typed by hand costs 3.33 lei and a document read automatically costs 0.90 lei: 0.83 lei of review time and 0.07 lei of extraction. That saves 2.43 lei per document. Covering only the 900 lei a month of hosting and maintenance takes about 370 documents a month, before anything goes towards the build. Below a few hundred documents a month, removing steps is cheaper: asking suppliers for software-generated PDFs instead of photos, for example.

## What to measure before you ask for a quote

1. Documents per month, by type, separate from the invoices that arrive through e-Factura.
2. The average number of pages per document.
3. How many suppliers and layouts make up most of the volume.
4. Minutes of work per document, timed on a few dozen real ones.
5. Which fields you need: the header only, or every line item.
6. Where the data has to go, and whether that software has an API or a file import.
7. The loaded hourly cost of the people doing the work today.

These are the numbers we collect in [The Diagnosis](https://murarum.ro/en/approach/diagnosis) at the start of every project, on a sample of your own documents, before anything is built. If they add up, we build [AI document processing for invoices and other documents](https://murarum.ro/en/services/ai-integration/document-processing), connected to the software you already use. Invoices you issue take a different route: [e-invoicing automation straight from the ERP](https://murarum.ro/en/services/process-optimization/e-invoicing-automation). Choosing between an invoicing app and your own integration is covered in [e-Factura: SaaS app or your own integration?](https://murarum.ro/en/insights/e-factura-saas-vs-integration).

## Summary

- Invoices received through e-Factura arrive as XML and need no automatic reading. Reading is for documents outside the system.
- You pay in one of three ways: per page or per document, through a monthly subscription, or through your own build with monthly costs after it.
- Cloud extraction services list prices around $0.01 per page or $0.10 per document, checked on 17 October 2026.
- Human review time, the accounting connection and maintenance decide the total, not the service price.
- Payback is the build cost divided by the net monthly benefit. Below a few hundred documents a month it usually does not pay.

## Frequently asked questions

### How much does it cost to read an invoice automatically?

At list prices checked on 17 October 2026, the extraction service costs around $0.01 per page on Amazon Textract and Azure, and $0.10 per document on Google Document AI's Invoice parser. On top of that come human review time, the connection to your accounting software and maintenance. Those usually decide the total cost, not the service price.

### Is a subscription or my own integration cheaper for invoice reading?

At low volumes with ordinary documents, a ready-made app on a subscription is usually cheaper, especially if it exports straight into your accounting software. Your own integration starts to pay at high volumes, with several document types or with an ERP the ready-made apps do not support. Compare the cost over a year, not only the monthly price.

### How many invoices a month make automatic reading worth it?

It depends on minutes per document and the hourly cost. In our worked estimate, with 4 minutes of manual work, 1 minute of review after automation and 50 lei an hour, it takes about 370 documents a month just to cover hosting and maintenance. The build is only paid back above that threshold, from whatever saving remains.

### Do e-Factura invoices need automatic reading too?

No. e-Factura invoices are structured XML files on the EN 16931 standard, so a plain parser reads them and passes them to accounting without OCR or AI. Automatic reading only makes sense for documents outside the system: invoices from foreign suppliers, receipts, delivery notes, contracts and scans.

### How much review time is left after automatic reading?

It depends on document quality and on which fields you extract. A software-generated PDF reads far more reliably than a photo of a receipt. Doubtful fields still go to a person. That is why review time is measured on a sample of your own documents, run in parallel with manual entry, before you calculate the saving.
